General

Q: What is the Documents addon?

The Documents addon is a comprehensive platform for creating, organizing, and managing all your business documents. It includes collaboration features like comments and notes, plus file attachments and PDF export.

Q: Who can access Documents?

Documents is available at the Company/Workspace level. Users with appropriate permissions can create, view, and manage documents.

Q: How do I create a document?

  1. Go to Documents → List
  2. Click + Create
  3. Fill in subject, type, and other details
  4. Save

Q: Can I link a document to a project?

Yes! When creating a document, select a project from the dropdown. This creates a unified workspace linking your document to project tasks and milestones.

Q: What's the difference between Public and Private documents?

  • Public — Visible to all workspace users
  • Private — Only visible to assigned user and admins

Q: How do I create document types?

  1. Go to Documents → Types
  2. Click + Create
  3. Enter type name
  4. Save

Collaboration

Q: How do comments work?

Comments are visible to all users who can access the document. Each comment shows the user name and timestamp. You can edit or delete your own comments.

Notes are internal reminders attached to a document. Use them for private documentation that you don't want visible in the comment stream.


Attachments

Q: How do I add attachments?

  1. Open the document
  2. Find the Attachments section
  3. Click Upload or drag-and-drop files
  4. File is attached to the document

Q: What file types can I upload?

Common formats include: PDF, JPG, PNG, DOC, DOCX, XLS, XLSX

Q: Can I preview attachments?

Yes! Click the preview button to view attachments before downloading.


Export

Q: How do I export as PDF?

  1. Open the document
  2. Click the PDF button or select Download PDF from actions
  3. PDF is downloaded to your device

Q: Can I customize the PDF format?

The PDF uses the default document template. Contact your admin for customization options.


Duplication

Q: Can I duplicate a document?

Yes! Use the Duplicate action to copy an existing document. You can choose to include or exclude notes and comments.
