Learn how to create an invoice from a sales order or create one manually. Track payment status and generate PDF invoices.

This guide shows you how to create an invoice and track its payment status.


Prerequisites

⚠️ Before You Begin: Make sure you have completed these prerequisites.

Sales Order (Method 1) [ ] Complete Convert Quote to Order
Account (Method 2) [ ] Complete Create an Account
Products/Services [ ] Complete Product & Service module must have items

💡 Recommended: Create invoices from sales orders to maintain the complete sales cycle (Opportunity → Quote → Order → Invoice).


Step-by-Step

Method 1: Create from Sales Order

  1. Go to SalesSales Orders
  2. Open the order you want to invoice
  3. Click Create Invoice or Convert to Invoice
  4. Invoice is created with all order items
  5. Review and save

Method 2: Create Manually

⚠️ Prerequisite Check: You need an Account and Products/Services available. If dropdowns are empty, create those first.

  1. Go to SalesSales Invoices
  2. Click + Create
  3. Fill in invoice details:
    • Invoice Name
    • Account (⚠️ Required: Create an Account first if dropdown is empty)
    • Billing Contact (⚠️ Required: Create a Contact first if dropdown is empty)
    • Invoice Date
    • Due Date
  4. Add invoice items (products/services)
    • ⚠️ If product dropdown is empty: Products need to be added in Product & Service module first
  5. Click Save

Step 3: Track Payment Status

  1. Open the invoice
  2. Update payment status:
    • Open — Invoice created, not yet sent
    • Not Paid — Sent, awaiting payment
    • Partially Paid — Partial payment received
    • Paid — Fully paid
    • Cancelled — Invoice cancelled

Step 4: Generate PDF Invoice

  1. Open the invoice
  2. Click PDF or Download button
  3. PDF invoice is generated
  4. Send to customer
